Add a substance

Go to Substances in the sidebar and click Add substance. The wizard has four steps.

1. Identify

The substance’s name is all that’s required — “Petrol 91”, “Acetone”, “Caustic soda”. Everything else helps but can wait:

• Product name — what’s on the label, if it differs from the common name
• Supplier — useful when you need a fresh Safety Data Sheet
• UN number — from section 14 of the Safety Data Sheet
• CAS number — from section 3

2. Classify

Tick every hazard classification that applies. Most substances carry several. See Classify a substance for where to find them and why ticking them all matters.

Set the physical state and the default unit — litres for liquids and gases you measure by volume, kilograms for solids and cylinders.

3. Location and quantity

Record where the substance is held and the most you keep there at any one time. That maximum is the figure regulatory thresholds are measured against, not your average or current stock.

You can skip this and add locations later, but a substance with no quantity can’t be counted in the controls report — so it’s worth doing now if you know the figure.

Held in more than one place?

Add the first location here, then add the rest from the substance’s Locations tab. Quantity is recorded per place because that’s how the thresholds apply — 200 litres in one shed is a different position from 20 litres in each of ten.

4. Safety Data Sheet

Enter the issue date from the front of the sheet. SteadyOn sets a review date five years on and warns you before it lapses.

Attach the document itself from the substance’s Safety Data Sheet tab once it’s created.

Importing an existing list

Most organisations already keep a substances list in a spreadsheet. Rather than retyping it, use Import CSV from the ⋯ menu on the Substances page. Map your columns to SteadyOn’s fields, check the preview, and commit — see Import data from a spreadsheet.

Classifications and quantities aren’t part of the import, so add those afterwards.

Editing later

Open the substance and choose Edit from the ⋯ menu to change its details or classifications. Quantities and locations are edited on the Locations tab, where each place can be changed independently.
