Attach files and photos
Most entity detail pages have an Attachments tab where you can upload photos, scans, and supporting documents.
- Open the entity’s detail page.
- Switch to the Attachments tab.
- Click + Attachment (or drag and drop a file).
- Pick the file. Most formats work — PDF, JPG, PNG, DOCX, etc.
- Wait for upload (usually a few seconds).
- The file appears in the grid.
Cover image
Section titled “Cover image”The first image attached to an entity is auto-flagged as the cover — it shows up at the top of the detail page header.
To change the cover:
- On the Attachments tab, hover over a different image.
- Click the cover icon to set it as the new cover.
To remove the cover entirely, just delete the image.
What the file is good for
Section titled “What the file is good for”- Hazards — photos of the hazard scene, the equipment in question, the controls in place.
- Incidents — scene photos, injury photos (with consent), scanned witness statements, training records of those involved.
- Actions — proof of completion (photo of the new mat, the installed extinguisher).

- Roles / People / Training — diplomas, certificates, photos for the staff board.
Where files are stored
Section titled “Where files are stored”Files are stored in Convex’s secure file storage, scoped to your organisation. Only members of your org can access them. Removing a member doesn’t remove their uploaded files — they stay on the entities they were attached to.
Limits
Section titled “Limits”- Per-file size: 100 MB.
- No fixed limit on number of attachments per entity (within reason).
- Supported types: anything with a MIME type. Some preview behaviour varies (images previewed inline; PDFs open in browser; office documents download).
