Build an inspection template

A template is the reusable shape of an inspection. Build it once, schedule a run from it as often as you need, and tweak it over time without breaking past runs.

  1. From the sidebar, open Templates (under Capabilities).
  2. Click + Template.
  3. Fill in Title, Description, and Category.
  4. Add Sections by clicking + Section. Give each one a clear name (Housekeeping, Electrical, Emergency exits).
  5. Inside each section click + Item and add the questions.
  6. Drag sections and items to reorder. Each one has a stable ID so reordering doesn’t break runs already in flight.
  7. Save.
  • One question per item. “Are walkways clear and well-lit” is two items, and the inspector won’t know which they failed.
  • Phrase as a positive. “Walkways are clear” is easier to grade pass/fail than “Are there any obstructions?”.
  • Be specific to your site. A template that says “fire extinguishers are tagged” is useful; one that says “safety equipment is satisfactory” is not.
  • Group related items into a section. It speeds up the inspector and makes failures cluster meaningfully.

Aim for the inspection to take 15–30 minutes to run. If your monthly walkthrough has 80 items and takes 90 minutes, split it into two shorter templates run on alternating months — Housekeeping in even months, Equipment in odd. The pass-rate trend per template stays meaningful.

Editing a template (changing items, adding sections) doesn’t affect runs that have already been scheduled. Each scheduled run owns a copy of the template’s structure at schedule time. To get the new shape, schedule a new run.
