Upload a document

The Documents module is your central library for safety-related documents — policies, procedures, SDS sheets, evacuation plans, certificates of compliance.

  1. From the sidebar, open Documents.
  2. Click + Document.
  3. Fill in:
    • Title — what the document is.
    • Description — what it’s for, who needs it.
    • Category — pick from the lookup (Policy, Procedure, SDS, etc.). Add new categories under Organisation Settings → Configuration → Lookups.
    • Tags — optional free-text tags for cross-cutting search.
    • File — drop or pick the file to upload. Most common formats work: PDF, DOCX, JPG, PNG.
  4. Save.

The document appears in the list. Open it and you’ll see a header with the title, category, and download link. The kebab menu has Download, Edit, and Delete actions.

Sensible defaults:

  • Policy — high-level commitments (Health & Safety Policy, Bullying & Harassment Policy).
  • Procedure — step-by-step how-tos (Lockout/Tagout, Hot Work Permit).
  • SDS — Safety Data Sheets for chemicals.
  • Form / Template — blank forms (incident report forms, induction checklists).
  • Certificate / Compliance — external certificates (electrical warrant, building WoF).
  • Diagram / Plan — site maps, evacuation diagrams.

Documents aren’t stranded. Open a hazard, incident, action, or inspection’s Related tab and add the document to it. This makes the SDS findable from the chemical-handling hazard, the evacuation plan findable from the fire-related inspection template, and so on.
