Add a person
A person is anyone in your H&S roster. They might also be a SteadyOn user (a member of the org with a login), but they don’t have to be.
- From the sidebar, open People.
- Click + Person. The wizard opens.
- Fill in:
- First name and Last name.
- Email — optional. If matched to a member, the records link.
- Description — free text. Useful for “subcontractor (Acme Ltd)” or “casual, weekends only”.
- Save.
Person vs member
Section titled “Person vs member”- A member can sign in to your SteadyOn workspace.
- A person is anyone in your roster — employees, contractors, volunteers, visitors. Most won’t be members.
When a member’s email matches a person’s email, they’re linked: the person’s “user” reference is filled in. This is helpful because the member can then be auto-assigned to roles based on their person record.
Archiving people
Section titled “Archiving people”When someone leaves:
- Open the person.
- From the kebab menu (⋯), click Archive.
Archived people:
- Don’t appear in role-assignment dropdowns.
- Don’t count toward role coverage.
- Are excluded from compliance percentages.
- Stay in the database — their training history, role assignments, and audit log entries are preserved.
To see archived people, toggle Show archived on the People list. You can Restore an archive if someone returns.
Hard-deleting
Section titled “Hard-deleting”If a person was added in error (duplicate, wrong workspace),
hard-deleting is allowed only if they have no userId link. From
the kebab menu, Hard delete removes the row entirely.
For real people who’ve left, archive — don’t hard-delete.
